1. Who we are

London Editors ("we", "us") provides proofreading, editing, academic editorial support and hybrid publishing services from the United Kingdom. For the purposes of UK data protection law we are the data controller for the personal data described below.

2. What personal data we collect

Information you give us

When you complete the quote form on this site, we collect:

• Your name
• Your email address
• Your phone number
• The service you are enquiring about
• Anything you choose to tell us in the brief or in later correspondence

If you contact us by WhatsApp, email or phone, we hold the content of that correspondence as well.

Information collected automatically

When you submit the form, our server records your IP address and uses it to derive an approximate country. We use this to route enquiries and to detect abuse. We do not use it to identify you personally beyond that.

Documents

If you send us a manuscript, dissertation, essay or other document, that file — and any personal data inside it — is processed by us so we can carry out the work. See section 6.

3. Why we use your data

• To reply to your enquiry and prepare a quote
• To deliver the editorial service you have ordered
• To take payment and keep accounting records
• To handle revisions, complaints and refund requests
• To keep our own records of who we have worked with, and to prevent fraud and abuse

We do not sell your personal data, and we do not share it with advertisers.

4. Our lawful basis

• Contract — where we are delivering a service you have ordered, or taking steps at your request before entering a contract (for example, quoting).
• Legitimate interests — for running and securing our business, keeping enquiry records, and preventing misuse of our forms. We have considered your rights and do not believe these uses override them.
• Legal obligation — for tax and accounting records.
• Consent — for any marketing message you have specifically opted in to. You can withdraw consent at any time.

5. Who we share your data with

We use a small number of third parties to run the business. Each one only receives what it needs:

• Our customer relationship management (CRM) system, hosted at crm.helpacademic.co.uk. When you submit the form, your name, email address, phone number and derived country are stored there so our team can follow up on your enquiry.
• ip-api.com — your IP address is sent to this service purely to look up the country it belongs to. No other data is sent.
• Our email and hosting providers, who process enquiry notifications and host this website.
• Google Fonts, which serves the typefaces on this site. Your browser requests those files from Google, which means Google receives your IP address.
• WhatsApp (Meta), if you choose to contact us that way. Your use of WhatsApp is governed by Meta's own privacy policy, not ours.
• Our editors, who are bound by confidentiality agreements.

We may also disclose data where we are legally required to — for example, in response to a valid court order.

Where any provider stores data outside the UK, we rely on the UK's adequacy regulations or on standard contractual clauses to protect it.

6. Your documents and confidentiality

Documents you send us are treated as confidential. Specifically:

• Your work is never published, resold, shared, or added to any public database.
• Editors sign non-disclosure agreements before receiving any client file.
• Access is limited to the people working on your order.
• We will delete your files on request — just email us.

7. How long we keep your data

We keep enquiry records for as long as is reasonably needed to follow up and to keep a record of who we have dealt with. Order and payment records are kept for the period UK tax law requires. Documents are deleted on request, and otherwise after the working relationship ends.

8. Cookies

This website does not set advertising or tracking cookies, and does not run analytics. The only third-party request the page makes is to Google Fonts for typefaces.

9. Your rights

Under UK data protection law you have the right to:

• Ask for a copy of the personal data we hold about you
• Have inaccurate data corrected
• Ask us to erase your data
• Ask us to restrict how we use it
• Object to processing based on our legitimate interests
• Ask for your data in a portable format
• Withdraw consent where we relied on it

To exercise any of these, email info@london-editors.com. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put it right first.

10. Security

We use access controls, confidentiality agreements and encrypted connections to protect your data. No system is completely secure, but we take reasonable steps appropriate to the risk, and we will notify you and the ICO of a qualifying breach where the law requires it.

11. Children

Our services are intended for people aged 16 and over. We do not knowingly collect data from anyone younger. If you believe we have, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will always tell you when it last changed. Material changes will be highlighted on the site.
